WoodCalc Privacy Policy

Version 2.0 · Test phase · Effective from 01.10.2026

WoodCalc is an iPhone app for calculating the volume of round timber and producing delivery notes for timber loads. It is provided by Stratcore s.r.o. and is currently being tested with invited users. This policy covers the test phase. It explains who is responsible for which data, where the data goes, and how to exercise your rights.

1. Two kinds of data, two responsibilities

WoodCalc handles two kinds of personal data, and a different company is responsible for each.

Data entered into the app (loads, delivery notes, buyers, drivers, loading locations). The company that uses WoodCalc for its timber deliveries decides what is recorded and why. If you use the app at work, that is your employer. In this policy it is called the customer. The customer is the data controller. Stratcore stores this data on the customer's behalf and does not use it for purposes of its own.

Data Stratcore needs to run the test and answer you (tester contact details, sync tokens, technical logs, TestFlight reports, messages sent to us). Stratcore is the data controller for this data

Stratcore has not appointed a data protection officer. The company's executive is responsible for data protection. WoodCalc is a business tool intended for use in the Czech Republic. It is not intended for children. It has no user accounts and no sign-in.

2. Data entered into the app

What it is

Data Details
Load Optional name, date.
Timber batches and logs Species, length, diameter, with or without bark, quantity, trunk number, quality grade, optional free-text note.
Delivery note references Delivery note number, contract number, order number, container number, document date, loading date.
Buyer Name, address, VAT ID, and one contact field (usually a phone number or email address).
Transport Pickup location and section, forwarding company, driver's name.
Loading location Latitude and longitude, only if the user taps Record GPS.

Most of this is business data about timber and shipments. It is personal data where it relates to a person: a buyer who is an individual or sole trader, a contact person's phone number or email address, a driver's name, or anything personal typed into a free-text field.

The customer uses this data to document its timber deliveries. The legal basis for that is the customer's to determine and to explain to the people concerned.

Where it goes

The phone. Everything is stored on the phone first. The app works without an internet connection. The saved customer list used to prefill buyer fields, the app's settings and the generated delivery note files stay on the phone and are never sent to Stratcore.

Stratcore's server. If a sync token has been set up in the app, loads, batches, logs and delivery notes are copied over an encrypted connection to a database that Stratcore operates for the customer. This happens when the app is opened, when a step such as saving a load is finished, and when the user taps Sync Now. Without a sync token, nothing is sent. The copy runs one way, from the phone to the server. The server is located in Germany.

Email and sharing, if the user chooses. Send by Email opens Apple's Mail compose sheet with the delivery note attached. The message is sent from the mail account already set up on the phone. The share button passes the file to another app in the same way. Stratcore does not send, receive or see these messages.

Loading location

The app reads the phone's location only when the user taps Record GPS in a delivery note. It takes one position at that moment. It does not follow the phone's location over time and never uses location in the background.

The coordinates are saved as part of the delivery note, as a record of where the load was picked up. They are synced with the note and, if the note is sent by email from the app, placed in the email text, which can be edited before sending. The record does not contain the name of the person who captured it.

Recording a location is always optional. iOS asks for permission before the app can read the location, and the permission can be switched off at any time in Settings → Privacy & Security → Location Services. The app works fully without it.

If you are named on a delivery note

If you are a buyer, a contact person or a driver, your details were entered by the company that issued the delivery note. That company is responsible for your data and is the right place to ask what it holds about you, or to have it corrected or deleted. If you write to Stratcore instead, we pass your request to that company and help it respond.

3. Data Stratcore uses to run the test and answer you

Stratcore is the controller for the data below. We use it on the basis of our legitimate interest in organising the test, keeping the sync service secure, fixing defects in the app and answering the people who contact us. Where you send us a request under data protection law, we process it because the law requires us to answer.

We receive tester details from you or from your employer. Without a name and an email address we cannot invite you to the test. Without a name and an email address on the contact form we cannot reply to you.

We make no automated decisions about anyone and do no profiling. The app contains no analytics, no advertising and no third-party tracking tools.

4. Who else receives data

Nobody other than Stratcore has administrative access to the server or the database. We do not sell personal data and do not pass it to anyone for advertising.

5. Transfers outside the European Union

Data synced from the app is stored in Germany and is not transferred outside the European Union.

Four services involve companies based in the United States, and only for the data shown in section 4:

  • Squarespace (contact form) and Cloudflare (email forwarding) are certified under the EU–U.S. Data Privacy Framework.
  • Google (reCAPTCHA) processes data under its own privacy policy and safeguards, including the EU–U.S. Data Privacy Framework.
  • Apple (TestFlight) processes data under its own privacy policy and safeguards, which include standard contractual clauses.

6. How long synced data is kept

  • Data on the phone stays there until it is deleted in the app or the app is removed. Deleting data in the app does not delete the copy already on the server.
  • Data on the server is kept for the duration of the test phase.
  • When the test phase ends, the data on the server is anonymised: names, addresses, contact details, identification numbers, free-text notes and coordinates are removed, so that only timber measurements and totals remain.

7. Security

  • The app communicates with the server over HTTPS only.
  • Each device uses its own sync token, which expires after 90 days.
  • The token is stored in the iOS Keychain and can be read only while the phone is unlocked.
  • Access to the database is restricted to Stratcore.

8. Your rights

For data entered into the app, contact the customer, which is the company that recorded it. See section 2.

For data Stratcore controls (section 3), you have the right to:

  • ask for a copy of the data we hold about you,
  • have inaccurate data corrected,
  • have your data deleted,
  • have its processing restricted.

You also have the right to object. Because we rely on legitimate interest, you can object at any time to our use of your data, on grounds relating to your situation. We will then stop, unless we have compelling reasons to continue or need the data for legal claims.

Send your request to privacy@thestratcore.com or use the contact form. We reply within one month. If a request is complex, the law allows this to be extended by up to two further months, and we will tell you if that applies. We may ask for information needed to confirm who you are.

9. Complaints

If you believe your data is being handled unlawfully, you can complain to the Czech supervisory authority:

10. Changes to this policy

Each version of this policy carries a version number and an effective date. We announce material changes in the app or by email before they take effect. This policy covers the test phase and will be replaced before WoodCalc is offered commercially. The current version is always available at https://thestratcore.com/app/woodcalc#privacy, and from the app under Settings → Privacy & Support.
